Notice of General, Special General and Policy Meetings - April 6th 2025

Dear members of Better Transport Queensland,

Please save the date for our upcoming Special General Meeting, General Meeting and Policy Meeting, all on April 6th 2025.

The meetings will be held at Kenmore Library between 9am and 5pm. You may attend a portion of the day if you are unavailable for the full duration. Food will not be provided. The library is located in Kenmore Village Shopping Centre, so you will be able to buy food if required.

Attached are three documents:

  1. the details of the motions at the General and Special General meetings;

  2. an annotated version of the Association’s Constitution detailing deletions and insertions of all proposed updates (“Schedule 1” in the motion);

  3. the Association’s Constitution with all proposed updates applied.

General Meeting

At the previous general meeting on 25th January 2025, we worked through various constitutional changes.

Unfortunately we needed to notify the proposed changes in advance, not just the meeting.

As such, we notify those changes tonight for consideration at the upcoming meeting.

We also propose two more minor constitutional changes and an operational change; please refer to the attachments for details.

The business of this meeting will consist of three Special Resolutions - two to endorse the new proposed changes and one to adopt the full text of the updated Constitution.

Special General Meeting

The Management Committee has been in correspondence with NAB to establish a bank account.

NAB has advised us to pass a resolution at a Special General Meeting to authorise this.

Hence, the business of this meeting will be a single Special Resolution to establish a bank account with NAB.

Policy Meeting

Most of our work on the day will be in our first Policy Meeting!

The primary purpose of this meeting is to identify key things to advocate for this year.

On the forum, a thread has been open taking submissions for the policy meeting.

That thread will close on Saturday 22nd March to allow for processing of the submissions.

Prior to the meeting, an indicative online survey will be released to rate each submission item in isolation on a five-point scale from strong-support to strong-oppose.

Then on the day, attendees will prioritise items on the MoSCoW method: Must, Should, Could and Won’t Have.

From there we can develop an advocacy platform consistent with those priorities, not necessarily on the day.

I might be able to attend in person for a little bit time-depending, but I have limited availability on Sunday the 6th. I’m flying to Sydney at 2:00pm ahead of a work meeting early on the 7th. It also takes 2-2.5 hours to drive from Warwick, and I can’t get away too early. Y’all pick a time that works for you, and I’ll let you know if I can pop in on my way to the airport.

FYI this was also emailed to all current formal members.

Part of the ordinary business of each general meeting at present is to consider and accept new members.

I can’t attend as going to Sydney as well that day at 10 am. It’s such an inconvenient date as it’s the first weekend of school holidays.

Positions Vacant - Management Committee

The Management Committee of Better Transport Queensland has resolved to publish and advertise externally for the following two vacant roles on Management Committee.

Naturally, we are also interested in hearing internally from members who wish to fill these positions - if any members are interested in holding these positions (elected) please direct message me for a Position Description.

  • Legal and Governance Director
    Develop expertise in and oversee legal, governance, dispute, grievance and compliance matters for BTQ, ensuring compliance with all applicable laws and regulations. The role also oversees compliance with the association’s rules, bylaws, policies, codes, and in addition provides dispute or grievance resolution.

  • Member Events and Safety Director
    The Member Events and Safety Director is responsible for enhancing the BTQ member experience through safe, fun and engaging event planning and execution for the benefit and enjoyment of members. The role also involves initiating and overseeing fundraising activities to support BTQ’s objectives.

Well done on forming BTQ. I will not be able to attend the meeting day as still sorting things out after my stay in hospital. Good to see some familiar friends here at BTQ forum. I am still trying to catch up on the main transport developments during my absence. The impression I have is that there have been a lot of lost commitments from the politicians, not that I expected otherwise tbh. Birtinya was always odds on, Victoria Park makes some sense transport wise. Still need to explore more but looking great here! :flexed_biceps:

My plan is to leave Warwick between 8:30am and 9:00am. It’s about 2 hours to Kenmore. I can hang around till’ a little after midday before needing to head to the airport to go to Sydney.

I won’t be able to make it tomorrow. I have a few other commitments this weekend and was hoping to make part of the session, but unfortunately I have deadlines at work and uni this week that will make this difficult. Apologies. I look forward to seeing the updates.

Thanks @Metro, that’s very clear and handy as I was just looking at Google maps which gives the impression there’s no pedestrian route to the library.

Online meeting for members joining online is now available on the discord. Here is an invite for those who aren’t on the discord: BTQ.

Thank you to all involved in today’s policy platform. Minutes for the two general meeting held today will be made available in time and the final ranking of each policy using the Moscow method are available to be viewed here: Policy Platform Miro.

The management committee will now work in consultation with the working committee to finalise a policy document based on the ranking and discussions from today. Keep an eye out for future topics where we think further discussion is required.
